We deliver expert services across a variety of sectors, including commercial, residential, institutional, oil and gas, power generation, shipbuilding, pulp and paper, and municipal projects. Located strategically between Courtenay and Nanaimo, our state-of-the-art facility includes comprehensive sheet metal, pipe spool, and structural steel fabrication capabilities. We serve clients on Vancouver Island and across Western Canada.

Position Summary:
We are seeking a cheerful, hardworking, and eager-to-learn Administrative Assistant to join our dynamic team in Fanny Bay. The successful candidate will perform a variety of administrative tasks, supporting daily operations and ensuring the smooth functioning of our office and projects.

Key Responsibilities:

  • Serve as the first point of contact at the front desk, greeting clients and directing them to the appropriate CanWest contact.
  • Receive and distribute packages to the relevant team members.
  • Coordinate outgoing courier shipments.
  • Answer and direct phone calls.
  • Update Teams phone messages regularly.
  • Organize and maintain filing systems.
  • Manage office supply inventory and orders.
  • Reconcile employee expenses.
  • Assist with basic accounting duties, including data entry and use of accounting software.
  • Scan and organize documents.
  • Support project managers by:
    • Creating project numbers.
    • Opening jobs in Salus.
    • Adding users to Salus.

Qualifications:

  • Strong time management and organizational skills.
  • Excellent communication abilities, both written and verbal.
  • A collaborative team player with a customer-focused mindset.
  • Ability to multitask and meet deadlines efficiently.
  • Proficiency with Microsoft Office and basic accounting software.
  • Strong keyboarding and general computer skills.
